Welcome to Organiko.ai!

Organiko.ai automatically tracks organic product flow from purchase orders to sales orders, ensuring USDA compliance with full lot traceability and mass balance reporting.

This guide will walk you through connecting your first integration, setting up initial inventory, and certifying your first purchase order - everything you need to get started!

Quick Start (5 Steps)

Create Your Account

If you haven't already, create a free account.

  • Enter your business email and create a password
  • Verify your email address
  • Log in to your dashboard

Connect Your First Integration

Start by connecting the system where you track purchases (INPUT):

Then connect where you track sales (OUTPUT):

Tip: You can use the same system for both INPUT and OUTPUT (e.g., QuickBooks for both purchases and sales)

Create Your First Flow

A "Flow" connects your INPUT (purchases) to your OUTPUT (sales):

  1. 1. Go to Flows in the main menu
  2. 2. Click "Create New Flow"
  3. 3. Select your INPUT integration (e.g., QuickBooks)
  4. 4. Select your OUTPUT integration (e.g., Shopify)
  5. 5. Click "Create Flow"
  6. 6. Toggle the flow to Enabled

This flow tracks organic products purchased through QuickBooks and allocates them to Shopify sales orders

Set Initial Inventory (Optional but Recommended)

If you already have organic inventory in your warehouse, add it now:

  1. 1. Click the notification banner at the top of your dashboard
  2. 2. Or go directly to Initial Inventory Setup
  3. 3. For each item, enter:
    • • Item SKU and name
    • • Quantity and unit of measure
    • Lot number (critical for traceability)
    • Expiration date (for FEFO allocation)
  4. 4. Click "Set Up Initial Inventory"

Why this matters: Initial inventory allows you to allocate sales orders immediately, even before your first purchase order is certified

Wait for First Sync & Certify

Organiko.ai automatically syncs data every 15 minutes:

  1. 1. First Sync (Historical Data)

    Within 15 minutes, Organiko.ai will sync the last 90 days of purchase orders and sales orders from your connected systems

  2. 2. Organic Detection

    Any items with "organic" in the name will be automatically detected and you'll receive a notification

  3. 3. Certify Your First Purchase Order
    • • Go to Reconciliation in the main menu
    • • Click on a pending purchase order to expand it
    • • Enter the lot number and expiration date
    • • Check "Mark as delivered" if received
    • • Click "Certify & Submit"

Congratulations! You've completed your first organic flow. Sales orders will now automatically allocate to this lot using FEFO (First-Expired-First-Out).

What Happens Next?

🔄Automatic Syncing

Every 15 minutes, Organiko.ai checks your connected systems for new purchase orders and sales orders. Any organic items are automatically detected and added to your reconciliation queue.

🔔Notifications

You'll receive notifications when:

  • • New purchase orders need certification
  • • Sales orders can't be auto-allocated (require manual allocation)
  • • Supplier certificates are expiring soon
  • • Inventory is running low

Daily Workflow

Your daily routine is simple:

  1. 1. Check Reconciliation page for pending items
  2. 2. Certify any new purchase orders (add lot numbers)
  3. 3. Allocate any sales orders that need manual assignment
  4. 4. Done! Everything else is automatic

📊Compliance Reports

At any time, you can generate:

  • Mass Balance Reports - Track organic inventory flow
  • Traceback Reports - Show complete chain of custody
  • Supplier Certification Reports - Verify all suppliers are certified

Go to Reports in the main menu to generate reports.

Common Questions

How often does data sync?

Every 15 minutes automatically. You don't need to do anything - new purchase orders and sales orders appear automatically.

What if I have multiple warehouses?

You can create separate flows for each warehouse by using different integration credentials or tags. Contact support@organiko.ai for guidance.

Can I use the same system for INPUT and OUTPUT?

Yes! Many businesses use QuickBooks for both purchase orders and sales orders. Just select the same integration for both INPUT and OUTPUT when creating your flow.

How does Organiko.ai detect organic products?

We scan item names, descriptions, and tags for keywords like "organic", "USDA organic", "certified organic". You can manually mark items as organic in the Reconciliation page if they're not auto-detected.

What is FEFO allocation?

FEFO (First-Expired-First-Out) means we automatically allocate inventory from lots that expire soonest. This ensures you sell older inventory first, reducing waste and maintaining freshness.
